Future Positive → Appointment conversion rate
A Future Positive is a real conversation with a real decision-maker who told us when to come back. Roughly one in five becomes an appointment. Here is what drives that number, and what we do when it slips.
Full guide in productionWhat this guide covers
1. What a Future Positive actually is
Not a maybe, and not a soft no. It is a named decision-maker who took the call and gave us a date.
- Every one carries a check-in date, and that date came from the prospect, not from us.
- Across our live client base roughly one in five becomes an appointment. Measured on fixed creation cohorts, not estimated.
- The book is an asset that keeps paying out after the letters stop. It converts on the prospect’s timeline.
2. Timing is the single biggest factor
Most Future Positives that have not converted yet are simply not due yet.
- Check-in dates move. A prospect who said November may push to January because their own review slipped.
- Renewal-dated conversations sit far out by design. An 18-month contract means an 18-month wait, and that is the correct answer rather than a failure.
- This is why we measure the book by when each one is due, and separate those due inside six months from the renewal-cycle tail.
3. How we work the book
The conversion rate is mostly a function of whether each one gets worked on its date.
- Every Future Positive is diarised to its own check-in date and re-contacted then.
- The tail matters. Conversations created a year ago still convert, so nothing is written off for being old.
- Where a check-in produces a new date rather than an appointment, that is a live conversation continuing, and it stays in the book.
4. Why some never convert
Being straight about it: a proportion will not, and these are the usual reasons.
- The contact left, and the relationship left with them.
- The route ran through a gatekeeper who never passed it on.
- Budget moved, or the incumbent fixed the thing that was annoying them.
- The original conversation was politer than it was genuine. It happens, and it is why we date every Future Positive rather than counting it as pipeline on sentiment.
5. If your conversion is statistically behind
The same discipline we apply to appointment generation applies here.
- We check the book is actually being worked on its dates before questioning the conversations themselves.
- We re-read the notes and call recordings on the ones that stalled, looking for what was really said.
- We look for a pattern: a sector, a job title or a route that converts far better, and we weight towards it.
- Your success manager can walk your live book with you conversation by conversation.
