Superstar Executive Assistant (EA) to Co-Founders

We are looking for a proactive and highly organized Executive Assistant to join our team. The ideal candidate will manage the administrative tasks necessary for setting up our new company and support the day-to-day operations as we grow.

  • Part-time leading to Full-time // UK Hours
  • Remote: Work from Home or Anywhere in the World. We are UK-based.
  • Earn: $900-1200/m for full-time depending on experience
  • Initially looking for 4hrs per day (half-time) leading into full-time role by the end of the year

Who We Are

We are setting up a brand new company in Fractional AI Resourcing and are looking for a “get stuff done” Executive Assistant to help us launch it quickly and effectively.

Key Responsibilities

1. Project Management:

    – Oversee and manage the administrative setup of a new company.

    – Ensure timely completion of tasks and maintain project schedules.

    – Hold the Founders accountable to their projects and tasks!

2. Website Setup:

    – Liaise with external developers to ensure new website pages are up and good quality.

3. GoHighLevel Settings & Management:

    – Manage CRM, calendars, affiliate pages, forms and so on in GoHighLevel

4. Social Media Management:

    – Set up and create profiles for social media accounts (LinkedIn, Twitter, etc.) and manage weekly posting schedule.

5. Recruitment Management:

    – Manage the recruitment process, including screening applications and coordinating interviews for new Head of AI positions.

6. LinkedIn Outreach:

    – Use LinkedIn automation tools to manage outreach campaigns and follow-ups.

7. Cold Email Marketing:

    – Set up and manage cold email marketing campaigns using http://Instantly.io.

8. Data/List Creation:

    – Use http://Apollo.io to create and manage data lists for potential leads and clients.

9. Client/Lead Management:

    – Handle responses from potential clients and leads efficiently and professionally.

10. Appointment Scheduling:

    – Schedule sales appointments via email and coordinate with relevant stakeholders.

11. Meeting Participation:

    – Join Zoom meetings, take detailed notes, and ensure follow-up actions are completed.

12. Product Launch Coordination:

    – Own and manage the new product launch checklist, ensuring the two owners stay on track for a successful launch.

13. Adhoc Tasks:

    – Perform other administrative tasks as required to support the business.

 

Key Technical Skills

  1. MS Office:

    – Proficiency in Word, Excel, PowerPoint, and Outlook.

  1. Google Workspace:

    – Skilled in using Google Docs, Sheets, Slides, and Gmail.

  1. http://Instantly.io:

    – Experience with setting up and managing cold email marketing campaigns.

  1. LinkedIn Sales Navigator:

    – Proficient in using LinkedIn Sales Navigator for outreach and lead generation.

  1. http://Apollo.io:

    – Competence in creating and managing data lists using http://Apollo.io.

 

Key Soft Skills

  1. Excellent Standard of English:

    – Strong written and verbal communication skills.

  1. Team Player:

    – Ability to work collaboratively with team members and stakeholders.

  1. Excellent Organizational Skills:

    – Highly organized with the ability to manage multiple tasks and projects simultaneously.

  1. Excellent Project Management Skills:

    – Strong ability to plan, execute, and oversee projects from inception to completion.
